We are looking for a Wait Time Information System (WTIS) Coordinator to work with our Surgical Services Department to help us continue in our mission to serve our community with Kindness, Passion, Courage, and Teamwork

Position Responsibilities:

The Wait Time Information System (WTIS) is a web-based application used for the collection of surgery, diagnostic imaging, and alternate level of care (ALC) information on waits and the efficiency of health care delivery. This information is used to inform the understanding of the patient journey through the health system. Reporting directly to the Manager, Surgical Services, the WTIS Coordinator, is an integral part of the team to support hospital WTIS reporting and the operations of the programs.

Duties Include:
  • Ensures timely input and management of wait lists through the booking system
  • Facilitates awareness of long waiters and prioritizes the booking of these cases in collaboration with the surgical team
  • Conduct monthly analysis on WTIS opened cases with respect to wait times, DARTs, and validation of patient status
  • Generates and evaluates daily reports from the WTIS application, inputs and troubleshoots any discrepancies, and resolves failure interface messages sent to WTIS
  • Monitors data accuracy of submitted cases and investigates any discrepancy noted on the WTIS system by the surgeons' offices (e.g., wait list, DARTs, referral dates); works with members of the OR team to ensure case records are closed
  • Validates accuracy of data going into the WTIS application, including contacting appropriate parties, as required to verify/validate information, as required
  • Knowledge of the HL7 protocols
  • Supports the monthly submissions of data quality and compliance reports to OH-CCO via Access to Care (ATC) site
  • Attendance at WTIS meetings
  • Prepares and disseminates WTIS information/data to surgical team and physician offices
  • Onboarding, training and education of physician’s’ office staff and internal staff responsible for bookings into the booking system including internal processes and data collection in regard to WTIS; may require travel to the surgeons’ offices.
  • Completes monthly reporting to the Surgical Target Efficiency Program (SETP) and manages compliance report feedback.
  • Leads and supports efficiency and innovation projects, participation in regional data quality improvement initiatives and data sustainability planning.
  • Promotes an environment that encourages and supports change using change management theory.

  • Performs other related duties as assigned.

Qualifications:
  • Undergraduate degree in health informatics, computer science, business or health administration (with a combination of hospital's previous working experience and proven database and analytical technical skills)
  • Three to five years working in a surgical program environment including two to three years of experience working with a surgical information system and/or other supporting applications and two to three years of experience with data analysis and data integrity
  • Project management experience
  • Knowledge of OH-CCO wait times guidelines and experience with wait times information system application
  • Excellent interpersonal skills and ability to engage with a multitude of stakeholders
  • Excellent professional verbal and written communication skills
  • Strong Microsoft Office application skills
  • Ability to prioritize time, work, and projects efficiently, working well under pressure and with minimal supervision
  • available to work all shifts, including some weekends, if required
