We are looking for a Scheduling Coordinator to work within our People and Culture Department to help us continue in our mission to serve our community with Kindness, Accountability, Respect, and Teamwork. As part of the People and Culture team, the Scheduling Coordinator is primarily responsible for the allocating and scheduling staff in accordance with the unit/departmental operational requirements, standardized processes, collective bargaining agreement provisions, policies and procedures, while working in a time sensitive and deadline driven environment. The Scheduling Coordinator will be a key member of the iSchedule applications team supporting the scheduling functions of a portfolio of units/departments. This position reports to the Director, People and Culture with day-to-day support and oversight by the Team Lead, People Applications and Reporting.
Position Responsibilities: - Working within the parameters of staffing availability and collective agreement provisions, ensures, in collaboration with the unit/ department managers or designates the monthly staff schedule is completed and posted
- Coordinates shift broadcasts of any unfilled needs during the first week of the posted schedule by booking and filling vacancies due to incidents such as sickness or emergencies, and short-term leaves as per the collective agreement
- Maintains and updates Master Schedules for the portfolio of units/departments
- Assists with the creation of new schedules following collective agreement provisions and Employment Standards Act requirements
- Ability to interpret and understand collective agreement language
- Works with multiple stakeholders to manage an effective schedule, through the use of a computerized schedule system (API)
- Ensures that sick leave and absences are reflected accurately on the staff schedules, bi-weekly
- Collaborates with People and Culture team in scheduling audits, as required
- Coordinates and ensures coverage for staff education sessions/meetings
- Assists in creating, maintaining and delivering training and orientation to staff, leaders and delegates
- Promotes an environment that encourages and supports change and continuous improvement
- Provides back-up to the Time and Attendance Coordinator, as required
- Other duties, as assigned

Qualifications: - Secondary School Diploma or equivalent required
- A minimum of two (2) years recent experience in a unionized scheduling environment, preferably in health care
- Experience with computerized scheduling and timekeeping systems is required
- Must possess a strong customer focus with exceptional telephone and email etiquette, interpersonal and communication (written and verbal) skills
- Effective team player that demonstrates a willingness to assist others and support team decisions
- Possess an understanding of scheduling best practices and collective agreement scheduling provisions
- Possess strong time management and organizationall skills to be able to successfully manage tight deadlines
- Demonstrated ability to handle multiple priorities within a dynamic, fast-paced work environment
- Strong computer skills and proficiency with MS Office (Word, Excel, Teams and Outlook) is required
- Excellent problem solving and prioritization skills needed, as well as strong attention to detail
- Excellent performance and attendance records
Hours of Work:
37.5 hours per week, Monday to Friday
Hiring Salary Range: $32.08 - $37.74 per hour The approximate duration of this temporary position is twelve (12) months. We are hiring for an existing vacancy.
