We are looking for an Emergency Planning and Accreditation Coordinator to work  to help us continue in our mission to serve our community with Kindness, Accountability, Respect, and Teamwork.

 
Reporting to the Manager of Interprofessional Practice, Quality and Innovation, the Emergency Planning and Accreditation Coordinator will support and coordinate organization-wide emergency planning and accreditation activities at Headwaters Health Care Centre (HHCC). The role will assist with accreditation planning, readiness activities, evidence collection, communication, education, monitoring of milestones, and follow-up on required actions to support ongoing compliance with Accreditation Canada standards, Required Organizational Practices, and HHCC’s quality and patient safety priorities. Additionally, the role will assist with the emergency planning activities including the updating of all the codes to ensure they are all up to date and include all the roles and responsibilities, ensure all the departments have completed their business continuity plan, and conduct the monthly mock codes and table top exercises as well as the HIROC’s risk assessment checklist and action plan.

In this role, the Emergency Planning and Accreditation Coordinator will work collaboratively with interprofessional teams, departments, program leaders, senior leadership, and internal subject matter experts to support accreditation readiness, quality improvement activities, risk awareness, and organizational learning.
 
 
Position Responsibilities: 
 
Accreditation
  • Coordinate accreditation work plans, logistics, timelines, meeting schedules, documentation requests, and follow-up activities to support organizational readiness.
  • Support the collection, organization, and review of evidence related to Accreditation Canada standards, Required Safety Practices, policies, frameworks, indicators, and leading practices.
  • Collaborate with accreditation teams, leaders, and departments to identify gaps, monitor action plans, and support completion of improvement activities.
  • Promote internal awareness and understanding of accreditation requirements and their connection to HHCC’s quality, risk, patient safety, and strategic priorities.
  • Assist with the assessment, planning, implementation, and evaluation of accreditation preparedness activities, including organization-wide, program-based, department-specific initiatives, and tracer activities in collaboration with interprofessional teams.
  • Contribute to the development of qualitative and quantitative reports and presentations that summarize assessment results, key milestones, accreditation readiness, risks, and improvement opportunities for leadership review.
  • Support the development and delivery of education and communication strategies aligned with HHCC’s priorities, including high reliability, quality improvement, patient safety, and accreditation readiness.
  • Support relationship management with Accreditation Canada and internal stakeholders to maintain accreditation momentum and enable ongoing communication, coaching, and improvement work across teams.
 
Emergency Planning
  • Update all the emergency codes to include roles and responsibilities
  • Develop, update and maintain the emergency preparedness plans
  • Meet annual reviews of emergency preparedness policies and procedures including the business continuity plans
  • Coordinate the HIROC Risk Assessment Checklist and action plans for each program
  • Develop mitigation preparedness response and recovery strategy
  • Lead hospital-wide emergency preparedness and business continuity programs to ensure organizational readiness and regulatory compliance.
  • Conduct risk assessments and emergency planning activities to mitigate operational, clinical, and infrastructure threats.
  • Coordinate emergency education, tabletop exercises, mock codes and disaster drills to strengthen staff preparedness and response capabilities.
  • Direct emergency response coordination and partnerships with internal leaders and external agencies during critical incidents and system-wide emergencies.

Other
  • Participate as a member of committees and working groups as required.
  • Follow HHCC’s infection prevention and control policies and procedures and maintain confidentiality of personal health information.
  • Actively participate in Continuous Quality Improvement/Risk Management activities and promote culturally sensitive and senior friendly patient care.
  • Maintain accreditation trackers, readiness dashboards, evidence repositories, action logs, and related documentation to support milestone monitoring, reporting, and follow-up.
  • Support survey readiness activities, including mock tracers, survey logistics, surveyor schedules, document requests, and real-time follow-up during accreditation visits.
  • Support engagement of patients, families, and care partners in accreditation readiness and quality improvement activities, where appropriate.
  • Support alignment of policies, procedures, frameworks, committee documentation, and supporting evidence with Accreditation Canada standards and Required Safety Practices.
  • Handle sensitive organizational, quality, risk, patient safety, and personal health information with discretion and in accordance with privacy, confidentiality, and organizational requirements.
  • Promote culturally safe, inclusive, equitable, accessible, and patient- and family-centred approaches in accreditation readiness and quality improvement activities.
  • Perform other related duties as assigned.

Qualifications:
 
  • Minimum of a baccalaureate degree in Health Sciences, Health Administration, Business Administration, Quality Improvement, or a related discipline required.
  • Minimum three (3) years of experience in a health care setting required.
  • Master’s degree in a related field preferred.
  • Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and related digital tools used to support documentation, reporting, presentations, and communication.
  • Experience and/or knowledge of the Accreditation Canada Qmentum process, Accreditation Canada standards, Required Safety Practices, quality improvement methodology, patient safety principles, and relevant healthcare legislation and Emergency Planning
  • Knowledge and understanding of the principles of High Reliability Organization (HRO).
  • Excellent written and verbal communication and customer service skills, including strong listening, speaking, and presentation skills.
  • Effective organizational and time management skills, with the ability to shift priorities and manage competing deadlines.
  • Excellent interpersonal skills, professionalism, tact, discretion, and attention to detail.
  • Superior analytical skills to analyze and interpret results of accreditation self-assessments, instruments, and tracer findings.
  • Strong problem-solving, critical thinking, relationship management, decision-making, negotiation, influencing, consultation, coaching, conflict resolution, and de-escalation skills.
  • Patient- and family-centred care orientation and ability to work with all levels and roles across the organization to support high-quality service.
  • Ability to create presentations, reports, briefing notes, trackers, and other accreditation-related materials.
  • Ability to work independently and collaboratively, manage multiple initiatives, respond effectively to changing priorities, and work comfortably with ambiguity and change.
  • Commitment to service excellence when engaging with staff, physicians, patients, families, volunteers, community partners, and members of the public.
  • Demonstrates HHCC’s values and commitment to fostering a healthy and positive work environment in accordance with health and safety policies and legislation.
  • Experience coordinating projects, facilitating meetings, preparing minutes, tracking action items, and following up with multiple stakeholders across departments or programs.
  • Experience using trackers, dashboards, shared workspaces, evidence platforms, or accreditation-related software to support documentation, monitoring, and reporting preferred.
  • Quality improvement, patient safety, project management, or accreditation-related training or certification preferred.
  • Demonstrated commitment to equity, diversity, inclusion, accessibility, cultural safety, and respectful engagement with diverse patients, families, staff, physicians, volunteers, and community partners.
  • Excellent work performance and attendance record.

Hours of Work: 37.5 hours per week, Monday - Friday

Hiring Salary Range: $40.83 - $48.03 per hour
 
The approximate duration of this temporary position is six (6) months.
